Congratulations on your engagement! I am excited that you and your fiance are considering me to make your wedding extraordinary. As an experienced DJ in all types of events, I want to really understand you and your fiance to make the day unlike any other wedding you, your family, and your friends have ever experienced. Here’s how travel DJ gigs work:
The Process
1. Vibe Check
Let's chat and get to know each other. Talk about what your priorities are and what you are looking for in your big day and how I can make the dream a reality!
2. Contract and Deposit
If you both are good to move forward, I will draft up a contract and with that and a deposit (See below), you have BOOKED ME!!!
3. Planning & Friendship
HI FRIENDS! Even with distance there are plenty of fun ways to stay connected and talk shit about the other weddings you attend in the meantime. I also work on securing local sound and lighting and help you get them secured as well so I have the tools to make the day happen! (See below)
4. Final Meeting & 2nd Payment
30 days out I like to go over the finalized music and MC items as well as connect over how the engagement treated you both! Are you sick of your families at this point? Considering un-inviting aunt Judy? I will go over final items and make sure I know exactly what you want for the day to execute! The 2nd payment is also due at this point.
5. Best Damn Party of your Lives
I will fly in the day before and make sure all equipment is ready to roll. Then we RAGE!
6. Final Travel Invoice
I will head out likely the next day and wish that we could just keep hanging forever. Within a week of the wedding I will summarize all final travel items and invoice them over to be paid. I try to be as transparent as possible and have zero interest in profiting off of items like travel. (See below)
Investment
Talent Fee: $5,000
This fee covers my expertise, of having DJed for 16 years and countless events of all types, performance, and preparation, including custom music curation, seamless coordination with your event team, and the creation of a personalized atmosphere for your celebration. The talent fee accounts for losing the opportunity to book other gigs on the days of travel.
Travel: ~$1,000
This is paid for by the couple directly if possible, or invoiced the week after the event. This guarantees transparency for all parties. Me and a possible assistant arrive a day before your wedding to ensure no travel hiccups, and management of setup and soundchecks, and depart the day after to accommodate any schedule changes or extended celebrations. This includes Flight, Rental Car, Potential Tolls, and Per Diem detailed below.
Hotel: Provided by Host
Staying at the same hotel as the wedding party allows us to be readily available for any last-minute adjustments and to seamlessly integrate with your event schedule. Staying the night before and the night of the event at the same hotel as the wedding party is a requirement of booking my services.
Sound Production: ~$1000 - $1,500
I source high-quality local sound equipment to ensure top-notch audio performance. This includes speakers, mixers, and microphones necessary for a flawless event. After sourcing, I have the couple directly pay for the equipment, set up, and tear down from the local production company, but manage all steps personally to ensure a perfect event with minimal involvement from the couple.
Lighting Production (Optional): ~$500 - Endless Opportunities!
Enhance your wedding ambiance with custom lighting solutions. From elegant uplighting to dynamic dance floor effects, lighting services add a touch of magic to your celebration. We would also manage all of the design and coordination with the local company. The couple would pay for this directly as well.
Summary of Fees
Most couples who book me to travel to DJ their wedding spend about $7,500: $6,000 invoiced through Engage Entertainment, and $1,500 to local production companies.
Talent & Time Fee: $5,000
Travel Estimates: Flight: ~$500 in US; Out of US is subject to time of year and distance from the Southwest of the US. Rental Car: ~$250, Per Diem $75/Day (Travel and Event Days), Tolls, etc: ??
Hotel: Provided by the couple where the wedding party is staying
Required Sound Production Local Rental: ~$1000 - $1,500
Optional Lighting Production Local Rental: ~$500 - Many Options!
I ensure every detail is perfect by investing significant time in pre-event planning, custom music curation, and seamless coordination with your event team. My approach guarantees transparency, as you, as the client, pay exact travel and rental costs. These are paid directly, if possible, allowing you to see the true value of our services.
Payment Schedule
Reservation Retainer: $2,500
This is paid at signing of the contract to secure booking on my calendar.
30 Day Out Payment: $2,500
This is paid 30 days prior to the event date. It also aligns with our final planning meeting to go over all finalized music selections.
Final Invoice: ~$1000
This includes all exact travel costs invoiced to the couple. To be paid within 14 days of final Event Date.
Sound and Lighting
Local production company payment schedules vary. I put in the work to source and negotiate the lowest possible rate for the best gear that will allow me to perform my job successfully.
